Privacy Policy

Verbact is a product operated by SUMIRAI SOLUTIONS. This policy explains how information is handled when you use the Verbact website, applications, transcription features, and related services.
Information we process
We process account information, subscription and payment status, audio submitted for transcription, generated transcripts, usage information, and technical logs needed to operate and secure the service.
How information is used
Information is used to authenticate accounts, provide transcription, manage subscriptions, prevent abuse, troubleshoot errors, improve reliability, and comply with applicable legal obligations.
Google Workspace API data
Verbact’s use and transfer to any other app of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Connected Google Calendar data is accessed in read-only mode to display and synchronize meetings and, only when a user explicitly requests or enables meeting capture, to provide that requested service. Verbact does not sell Google user data or use raw or derived Google Workspace API data to develop, improve, or train generalized AI or machine-learning models.
AI processing safeguards
When a user requests transcription or meeting intelligence, Verbact may transfer only the information needed to service providers such as Deepgram, Recall.ai, or the OpenAI API. These integrations are configured or contractually restricted so customer content is not used to train generalized models. Deepgram transcription requests explicitly opt out of its Model Improvement Program; OpenAI states that API customer data is not used for model training by default, and Verbact’s synthesis requests disable response storage; Recall.ai states that customer data is not used to train or fine-tune AI models. A meeting join link may be sent to Recall.ai only when the user explicitly schedules or enables the meeting assistant.
Service providers
Verbact uses carefully selected providers for managed authentication and data storage, speech-to-text processing, hosting, and payment processing. Payment card details are handled by the payment provider and are not stored directly by Verbact.
Sharing and public links
Transcripts are private unless an account holder intentionally creates or shares a public link. Anyone with an active public link may be able to view its contents, so links should only be shared with intended recipients.
Retention and security
We retain information for as long as needed to provide the service, meet legal obligations, and resolve disputes. We use access controls, encrypted connections, restricted credentials, and monitoring to protect information, but no system can guarantee absolute security.
Your choices
You may request access, correction, or deletion of eligible personal information and may disable subscription renewal from the billing controls available in your account.
Questions or requests
Privacy questions may be submitted through the support channel associated with your Verbact account. We may need to verify your identity before completing a request.
